TallyCards project overview for Patient Portal Rebuild: hours logged, budget used, billable percentage and pending approval cards above a budget burn-up chart and a time-by-activity breakdown

From ticket to invoice in four steps

  1. Connect

An admin links each Azure DevOps project once, read-only.

  2. Log

Fill in your weekly grid. Lawtomatch maps your work items for you.

  3. Approve

Approvers accept or reject the week. Rejections are emailed back.

  4. Invoice

Issue a T&M invoice as a PDF, track it to paid, then see each project's margin.

Everything from timecard to invoice to margin

The tools your team uses every week, built around the Azure DevOps work items you already track.

Time-and-materials invoicing

Pick a client, project and period and TallyCards builds the invoice, with a live preview as you go. Draft review flags problems and compares the total against the project budget before anything goes out.

  • Track every invoice from draft to issued to paid (or void)
  • Download a PDF to send to your client
  • HST rate and registration number supported
Draft invoice comparing the invoice total with the planned budget, listing each consultant with their job title, rate, planned and billed hours and amount, beside an issue-readiness checklist and flag rules

Project profit & loss

Know which projects make money, before the quarter ends. TallyCards prices the approved and billed hours it already tracks, so each project shows its revenue, cost and margin without a timesheet export. Missing costs are flagged, never counted as zero, and costs are visible only to admins.

  • Set an hourly cost per rank; raises and promotions apply from their date, so past margins don't move
  • Override the cost on a single project for a contractor or a secondment
  • Margin to date, profit and loss by month, and margin by member on every project page
  • A report of every project's margin, worst first, groupable by person, with CSV export
Profit and loss report for January 1 to October 27, 2026, grouped by project, with hours, revenue, cost, margin and margin percent for each project, the worst margin first in red, a Total row and an Export CSV button

Weekly timecards with Lawtomatch

Consultants fill in the whole week in one grid, tabbing from cell to cell with the keyboard. Lawtomatch maps their Azure DevOps work items onto the grid, so each row lines up with a real ticket.

  • Add rows from last week in one step
  • Copy the week as a Markdown table
  • Draft, submitted, approved: approved time is locked
Weekly timecard grid with date navigation, Lawtomatch and Add rows buttons, hours per day for each project, activity and Azure DevOps work item, daily totals, and Copy and Submit week buttons

Approvals in one weekly review

Approvers see everyone's week for a project side by side and accept or reject it in one place. Approved time is locked and ready to invoice.

  • A weekly review grid for each project
  • A rejection emails the submitter
  • Require approval on the projects that need it

Resource Planner

Plan who works on what, week by week. Each member's allocations sit next to their weekly capacity, so you can see who has room before you commit to a client.

  • Allocate members to a project by week
  • Compare allocations with each member's weekly capacity
  • Spot over-booked weeks before they happen

Reports and project insights

Every project's page charts its budget burn-up and allocated versus actual hours, so you can see how the work is tracking. T&M billing reports are ready as PDF or CSV, and the Reports page adds a profit and loss report across all projects with CSV export.

  • Budget burn-up, allocated vs actual and a daily activity heatmap on each project
  • T&M billing reports as PDF or CSV
  • Project timecard report with filters, totals and CSV export

Azure DevOps, connected once

An admin connects each project once with a personal access token. TallyCards only asks for read access to work items and keeps them in sync in the background, so consultants log time against the tickets they're on.

  • One connection per project, set up by an admin
  • Read-only access to work items
  • Work items sync in the background

Phone and tablet layout

A responsive web layout for phones and tablets. Nothing to install.

CSV and Markdown export

Export reports to CSV, or copy a week of time as a Markdown table.

Per-project rates and budgets

Set a client, default hourly rate, budget and dates for each project.

Email on rejections and invites

Rejected timecards and teammate invites go out by email.

Up and running in an afternoon

Bring your team and your history with you. No credit card required.

An admin links each project once, with read-only access to work items.

A clean interface your team will actually use

Questions teams ask before signing up

Do I need Azure DevOps?

It's built around Azure DevOps — work items sync in and Lawtomatch maps them for you. You can still log time against projects and activities without a connection.

What does it cost?

Free for teams of up to 4. Beyond that, the Team plan is $6 per seat per month, and Enterprise is priced to fit. Project profit & loss is part of the Team and Enterprise plans. No credit card to start.

How is project margin calculated?

Only approved and billed hours count. Billed hours use the rate actually invoiced, and approved hours use the current billing rate. If a cost or rate is missing, TallyCards flags it instead of counting it as zero. Cost changes and promotions are dated, so past margins stay the same.

Can I bring my existing timesheets?

Yes. Import users and timecards from CSV; everything is validated before anything is saved.

Is our data kept separate from other companies?

Yes. Each workspace's data is isolated at the database level, and Azure DevOps tokens are stored encrypted with read-only access.

Does it work on a phone?

Yes. TallyCards is a responsive web app that works on phones and tablets, with nothing to install.

Can I send invoices to clients?

Yes — issue an invoice and download it as a PDF to send.

Stop rebuilding timesheets in spreadsheets.
